Three of the biggest ownership transfer questions answered.

Updating the ownership of an American Quarter Horse represents a vital part of AQHA’s mission statement: protecting the integrity of the American Quarter Horse breed.

As stated in my post AQHA Transfers, Cheap and Painless, it’s important to make sure the horse you’re purchasing has an updated ownership record. Even then, there are a few bumps you might hit along the way. Read on for the three most common issues we see when completing ownership transfers.

Question: Why did I get charged for a new membership? I already had one!

Answer: When filling out the buyer’s line of the AQHA transfer report, your name must read exactly as it does on your AQHA membership card. If what you wrote doesn’t match anything in our records, we think it’s a new owner and therefore create – and bill for – a new membership for that person. To correct this issue, AQHA requires a signed statement if the ID number was not included on the transfer report. When in doubt, contact AQHA Customer Service for that information.

Question: I made a mistake on my transfer, marked through it and corrected it. Why am I being asked for verification?

Answer: Information such as the date of sale and the buyer’s name can affect several things outside of the transfer. AQHA uses these dates to determine things such as stallion breeding reports, foal registration documentation and foal ownership. Alterations to the date of sale and the buyer’s name will always require verification from both the buyer and seller. This is one way AQHA prevents fraud. If I got your transfer, marked out your name and put mine in place, and AQHA didn’t check out the situation, that horse would belong to me on AQHA’s record.

Question: What’s the big deal about the date of sale?

Answer: Especially when dealing with breeding mares and stallions, the date of sale is probably the most vital piece of information on the transfer report. AQHA goes by those dates to determine the breeders and owners of those horses’ offspring. Mistakes on the date of sale can also determine the validation of points earned in the show ring. It’s important to be accurate when filling out this section of the transfer report, and to either start over if you make a mistake, or provide AQHA with the necessary verification.

Check out our transfer video tutorial for a visual walk-through of the transfer report, and of course, don’t hesitate to comment below if you have questions!

AQHA’s Incentive Fund program is the way to go!

AQHA Customer Service Rep Kayla Randall

For all of you who breed show horses, buy show horses or just plain get out there and show horses, AQHA’s Incentive Fund program is probably something you’ve been buzzing about in the barn. To someone in customer service, there’s nothing more gratifying than having the answer to the question or solution to the problem that just made someone’s day. And telling a member that their Incentive Fund check is in the mail would classify as one of those days!

Investment is a word that is so commonly used these days. Invest in stock. A car. A house. A darn good pair of boots. The possibilities are endless. And now, during tough economic times, we are all choosing our investments very wisely. AQHA’s Incentive Fund program works the same way. It’s an investment in your horse. Each year, a point payout is decided upon via a formula, and that amount is multiplied by the number of points your horse received that year. You, as owner, will get a check for 70 percent, the nominator will get 15 percent, and the horse’s sire nominator will get 15 percent. But what is all of this nominator and sire business? Read below for a quick and easy guide to AQHA’s Incentive Fund that anyone can understand!

The process starts with the stallion owner. This is where it can get a little tricky. Here are the rules:

The stallion owner must nominate the stallion within 90 days of his first-ever breeding. (E.g. stallion breeds the first mare in April, then he must be nominated by July).

The same stallion must then be nominated again by November 30 of that breeding season. This is because stallion nominations are due a year in advance. (E.g. nominate in 2008 for the 2009 breeding season that produces foals born in 2010).

The price to nominate a stallion is $300 (flat) for the first breeding season, and then based on the number of mares bred thereafter. Click here for a price chart.

After you’ve mailed your stallion nomination in the first time, you can call it in each year thereafter. AQHA even makes it easy by calling everyone eligible to nominate by phone each year!

Phew! We’ve got stallions covered. Now, how about those foals?

Mare owners, breed your mares to AQHA Incentive Fund nominated stallions. It’s the only way to get your baby nominated! You can check the list online or call AQHA Customer Service with a stallion’s name and we’ll tell you the information.

Once you have the stallion picked, the breeding done and waited about the longest year you’ve ever thought for that Incentive Fund foal, simply check a box on the foal application and be sure to sign, and AQHA will nominate your foal for the Incentive Fund.

Beginning January 2012, there are a few changes to the program. Everything listed above still stands, but the following changes have been made.

We’re trying to get more money into your pockets when you get your yearly Incentive Fund check, but that money has to come from somewhere. There will now be a $50 per year, per division licensing fee for each nominated horse. This may seem like quite an increase, but if you think about it, it won’t take that many points to earn that money back and then some, even with the payout money around $20 a point. With enough horses enrolled for that year, the payout money can easily get up to our goal of $50 per point. When that happens, one point gets your enrollment money back. The licensing fee requirement begins January 1, 2012.

There is also a licensing fee assessed to the person that buys your Incentive Fund nominated horse from you. This helps us out by keeping any payout money you earned while you owned that horse in your pocket, as well as keeping you from paying licensing fees for someone else to benefit.

The nomination fee for foals 7 months old and younger is increasing to $125. This will also help that point payout total get up to that $50 goal. Even with that increase, registering your foal by that 7 month deadline is still going to cost you less than $200 – and that’s counting a parentage verification test. With a higher point payout, that foal will earn you a whole lot more than that in its career. The nomination fee increase starts with foals born in 2013.

We’ve also changed the payout percentages and increased the amount breeders and stallion owners receive from 10 to 15 percent.

There are several more changes, including a point payout cap and a new nomination offer to second-career race horses. Read more about all the changes to the Incentive fund program here.

More helpful information: AQHA will need your Social Security Number or Tax ID number on file for you to be eligible to nominate your horse to the Incentive Fund. Don’t have a Tax ID number, but plan on joining this multi-million-dollar program? Click here for access to the United States Internal Revenue Service website and get one.

Congrats on a great investment!

As always, at your service…

How to enroll in the AQHA Auto-Renewal Program.

In 2008, AQHA introduced the Auto-Renewal program. In our ever-increasing efforts to modernize your Association, AQHA jumped on the automatic-bill-pay band wagon. AQHA also uses less paper, so to auto-renew is to be eco-friendly!

AQHA and the American Quarter Horse Foundation have placed an auto renewal option for general and amateur memberships (not youth), all Journal subscriptions, and AQHF donations.

To enroll in Auto-Renewal, simply let AQHA know the next time you renew or complete the Auto-Renewal online enrollment form.

Get insider information on one of AQHA’s most frequently asked questions!

AQHA has developed a section of its Web site specifically for members called Member Services. It is every AQHA member’s place to conduct business with AQHA, look up the most up-to-date records on any American Quarter Horse, view show leaders lists and more.

But there’s a catch! You have to have your AQHA ID and PIN to log in. This week, I want to share with you the procedure for sending PINs to our members.

AQHA Customer Service Rep Kayla Randall

The way you sign up for your AQHA membership – by phone, mail, fax or online – determines whether or not you need to request your PIN from AQHA.

If you:

Sign up online, a letter will be automatically mailed to you.

Sign up by phone, mail or fax, then you need to request a letter from AQHA. You can do this yourself by clicking on the “Get a PIN” link on the AQHA home page. You can also contact AQHA Customer Service.

The PIN letter you receive will contain an alpha-numeric PIN and the last three digits of your AQHA ID number. Don’t let this fool you! You need to use your entire, seven-digit ID number when you sign on!

But you wonder, “Do I have to wait for a letter every single time I lose my PIN?” Not at all. Once you log in with your ID and PIN, you will be immediately stopped and prompted to set up a secret question and answer so that you may receive your PIN by e-mail if it ever changes or is lost in the future. If you have a secret question set up and need to have your PIN e-mailed to you, click on the “Forgot Your PIN” link on the AQHA home page. This is a huge reason why we are always pestering you for your e-mail address whenever you call! If we don’t have the correct e-mail on file, you can’t get your PIN!

That is the basic AQHA PIN procedure. I know in these technologically advanced days, there is a password or PIN, ID number or secret handshake to get into everything, but it’s worth it to get what you need fast!

A few other fun facts about your AQHA PIN:

It cannot be given to you over the phone.

It can be customized (click on ‘member action’ at the top of the screen after logging in).

If you have a secret question set up, but forget the answer, call us and we’ll send it to you by mail.

You can try to answer your secret question/log in unlimited times. There is no feature in place that will lock you out of the system.

You must answer your secret question in the same format each time (ex: if your answer is a date, and you put in the format mm/dd/yyyy the first time you answered, you must do this each time).

At a show/event with AQHA OnSite Services? Stop by in person, and an AQHA staff member will give you your PIN on the spot!

Remember, this is all for your security! You can do so much business online, and AQHA wants your information to stay secure! If you’re having trouble with your PIN, send me a comment and I’ll be glad to help you out!

A detailed description of what AQHA has to offer!

AQHA offers three types of memberships: general, amateur and youth. I’ve explained your membership discounts and how to get a new membership card if you’ve lost yours, but what about the type of membership that is right for you? This is definitely a frequently asked question, so read on for the answer!

AQHA Customer Service Rep Kayla Randall

When applying for your AQHA membership, keep a couple things in mind: Whether or not you are going to show in AQHA events and your age. Another nice little policy I’m going to share with you is that you have 60 days from the date AQHA receives your membership to change it or change your mind, unless horse-related work was completed within that 60-day time frame. So, don’t sweat it if you think you want to change. Just call AQHA Customer Service.

A general membership is for horse-related work received into AQHA offices or exhibitors who are going to show in the AQHA open division If you are going to place your membership in a joint, farm, ranch, family or business name, the general membership is the way to go. If you place your membership in a farm, ranch, family or business name, be sure to fill out an AQHA authorization form. The authorization form lets AQHA know who can sign important paperwork, such as transfers and breeders certificates. It also helps AQHA verify who can maintain addresses and phone numbers.

A general membership is $40 for one year, $80 for three years or $750 for a life membership.

After the 60-day timeframe, or if horse-related work has been completed under your membership, AQHA cannot add, change, remove, transfer or cancel a membership.

Amateur Membership

An AQHA amateur membership is specifically for showing. An amateur membership card must be purchased solely in the name of the exhibitor.

An amateur is an exhibitor 19 years of age or older who has not shown, judged, trained or assisted in training a horse for remuneration. This rule is not limited to Quarter Horses, so if you have shown, judged or trained any other breed or even grade horses, you do not qualify to compete in the AQHA amateur division.

The other main stipulation for amateur exhibitors is that the horse exhibited by an amateur must be owned by the amateur exhibitor or someone directly related to the amateur as specified in Rule 403(a) in the AQHA Handbook of Rules and Regulations.

AQHA does not recognize common-law marriages for amateur exhibition purposes, as a common-law marriage is different in each of the United states and in other countries.

An AQHA amateur membership is $50 for one year and $100 for three years. Because amateur members must sign a statement verifying that they still qualify to be an amateur at least every three years, AQHA does not offer a life amateur membership. If you would like to have a life membership, but want to exhibit in the amateur division, you may obtain a general life membership and upgrade it to amateur status either every one or three years. Amateur upgrades are $10 for one year or $20 for three years. If you have purchased a general membership but need an amateur card, an upgrade will work for you as well. An upgrade can be submitted at a show (an extra $5 charge is applied to the upgrade cost) or can be mailed or faxed to AQHA. The amateur application, completed and signed, is required with the fee.

Youth Membership

A youth membership is designed for members under age 19. Like the amateur membership, a youth membership cannot be purchased in a joint, family, farm, ranch or business name. AQHA youth members are eligible for all AQHA corporate partner discounts, except the Member’s Plus. Youth memberships are not eligible for auto renewal.

A common misconception for many of my customers is that a youth member cannot have a horse transferred into his name. This is not true. AQHA does not have any stipulations for horse ownership that limit a member because of age. If the youth is too young to sign his name, parents and guardians can submit a statement to AQHA lising the youth’s name, birth date and information stating that they need to be able to sign for AQHA paperwork submitted under the youth’s name. AQHA does not charge a fee to list authorized persons.

A youth membership is $15 for one year, $35 for three years or $50 for a life youth membership. The life youth membership ends December 31 the year of or after the member turns 19. He or she can then graduate to an amateur or general membership. A $50 discount is given to life youth members who graduate to a general life membership.

Youth members who exhibit in the youth division also have ownership stipulations. The horse exhibited by a youth must be in the ownership of the exhibitor or someone directly related as specified in Rule 404(a) in the AQHA Handbook of Rules and Regulations.

Now that you have a detailed description of all the memberships AQHA offers, pick the one that fits your needs, and join today!

A horse registration survival guide to help keep you sane!

Everyone loves babies. And American Quarter Horse babies are just about the sweetest things to look at!

AQHA Customer Service Rep Kayla Randall

I love going through files to find a picture to place on a horse’s registration certificate, because I get to see all the cute little foals in line to be registered. But it takes a lot more than a sire and dam to get a foal registration in the works. Read on for the answer to one of our most frequently asked questions – ‘How do I register my foal?’

You’ve found the perfect stallion for your mare and the deed is done. About a year has gone by and you have a sweet little foal on the ground. You’ve done the breeding, done the waiting, and now it’s time for the paperwork!

Every year, AQHA mails out a pre-printed Registration Application (also called a Breeder’s Certificate) to every stallion owner that files a Stallion Breeding Report. This application will contain pertinent information such as the sire and dam’s information, mare and stallion owner’s name and address and the breeding dates. It’s up to you, the proud owner of a new foal, to fill in the rest.

But what if you don’t have your pre-printed application? AQHA has a registration application available for download. This is the same form, but you have to fill in all the information that would come ready for you in the pre-printed version.

You need to be an AQHA member to register your foal. AQHA membership comes with hundreds of dollars in savings each year, plus America’s Horse magazine, free records, access to AQHA programs and events and much more. Join AQHA or renew your membership today!

Now you need to ask yourself a few questions:

Is my name choice available?

Does my foal need to be Parentage Verified or HYPP tested?

Do I have the proper photos of the foal?

Do I have all the signatures I need to get my foal registered?

Once you have all of these basic things covered, you can get your markings drawn in and ship it off to AQHA, with the peace of mind that it will probably go off without a hitch!

If an AQHA foal registration isn’t something you do every day, it can get a little confusing. And there are a lot of scenarios that can come into play when registering your foal. Not all registrations are the same, and depending on several factors, there are some additional things you may need to do. Read up on AQHA registration rules in our Handbook.

Have a special situation that needs to be addressed? Send me a comment and I’ll be happy to help you out!

As always, at your service…

Before you purchase your American Quarter Horse, it’s always a good idea to ensure that the seller has the original registration certificate as well as a transfer report. You can call AQHA Customer Service to make sure that the person you’re purchasing the horse from is the owner on record or authorized to sign paperwork for the owner, or you can purchase an ownership record for the horse online.

If you’re not buying a horse from the owner on record, check with your seller to ensure they have a transfer report putting the horse into their name before you complete your purchase. AQHA does not knowingly allow skipped transfers, but you can send multiple transfers in at the same time and we’ll update the horse’s record and put the horse in your name.

When to pick up the pieces and when to start from scratch.

AQHA Customer Service Rep Kayla Randall

AQHA has certain policies regarding lost or damaged Registration Certificates. And there’s a big difference between duplicating and replacing! The main difference is money. And we’re all looking for ways to save money these days! A replacement certificate requires the old certificate and a $15 fee. A duplicate certificate requires a form, pictures, current membership and a $30 fee. So when can you replace rather than duplicate?

I had a member call me a few months ago with this question. Her dog had eaten her horse’s certificate- or most of it anyways! (Yes, it’s true!) This customer needed to submit a replacement request. The steps to correct/replace a registration certificate are listed below:

Don’t throw away what’s left of the certificate!

Make sure you can see either the horse’s registered name or number. (if not, You’ll need to file for a duplicate)

Mail what’s left of your old certificate-to AQHA with a $15 replacement fee. It’s also a good idea to include a note telling AQHA what needs to be done with the certificate.

A current AQHA membership is not required to file a certificate replacement request.

It’s that easy! Now, sometimes there’s no way around it. If your pooch swallowed all but the upper right-hand corner (we heartily request that you do not follow him around with a bucket afterwards…), you just cannot find that certificate or your brother-in-law came to visit and really NEEDED kindling for the fireplace, then you need to file for a duplicate.

Fill out an AQHA Affidavit for Duplicate Certificate

Snap five photos of your horse

Make sure your AQHA membership is current and mail it in with a $30 fee.

Both are just about as easy as they can be to accomplish, and help you and AQHA keep records current! Have questions or a funny story about one of your horse’s papers? Send me a comment!

In all the years I’ve spent here at AQHA, learning the ins and outs of our rules and procedures, one thing I’ve never taken the time to study is coat color genetics. As much as I pride myself on being able to answer any question that might come my way, that is one thing I don’t care to delve into.

Determining the color of a horse, a foal in particular, can be a pretty tricky thing. Cute as they are, they tend to change their hair color quite a few times before they decide to settle on one. This is all well and good for the horse, but for its owner, it can put a kink in getting that registration application turned in before the deadline. I may not be able to tell you whether your foal is a palomino or a buckskin (I’m really that inept, guys!), but I have a friend who can.

Every Friday from 2-4 p.m. CDT, AQHA Equine Color Specialist Lisa Covey will be fielding color questions live on AQHA’s Facebook page. She can look at photos and help decide color, or she can take a crack at a couple of pedigrees and tell you what color your upcoming foal may be. If you have questions about AQHA’s new color testing panels, she can help with that, too. All you need is:

A sunny disposition (not really, but it couldn’t hurt, right?)

The horse’s registered name/number

The registered name/number of the sire/dam

Any photos you’d like her to take a look at

Gather all of the information above and head over to facebook.com/aqha1 Friday afternoons to get the help you need. As always, if you can’t wait until Friday, post your question in the comments below, or call Lisa at 806-376-4811 Monday-Friday 8 a.m. – 5 p.m. CDT.

The low-down on AQHA’s genetic testing requirements.

AQHA Customer Service Rep Kayla Randall

Since the inception of AQHA, science and information technology have advanced by leaps and bounds. Today’s society doesn’t shrug its shoulders at a question; it diligently locates the answer. An AQHA requirement that I have been hearing a lot about – DNA testing and parentage verification – seems to leave many people wanting more information.

I frequently receive calls from people asking me to explain the differences between DNA typing and parentage verification. Well, there isn’t much of a difference. A DNA test will derive the genetic markers of an individual horse. Think of it like a fingerprint. Each horse has its own unique genetic marker. Parentage verification still obtains that genetic marker, but it also compares it to the sire and dam recorded for that horse. Basically, parentage verification makes sure the dam is the horse’s mother and the sire is the horse’s father. AQHA has made genetic testing a requirement in some instances. Check out the list below to see if your horse needs to be DNA typed or parentage verified.

DNA typing is required if:

Your horse is a stallion that is breeding mares.

Your horse is a mare that is being bred and was born in 1989 or later.

Parentage verification is required if:

Your horse’s sire or dam was under the age of 2 at the time a foal was conceived.

Your horse was the result of embryo/oocyte transfer.

Your horse was conceived by the use of frozen semen or cooled semen that was transported.

Your horse is more than 48 months of age at the time the application for registration is received by AQHA.

Your horse’s dam was exposed to more than one stallion within a 30-day time period.

Your horse has excessive white markings, as specified in Rule 205(d).

Your horse is foaled after January 1, 2007, and is a decendant of the stallion Impressive 0767246 (see Rule 205(c)).

Your horse is going to be raced.

Your weanling is going to be entered into an AQHA World Show.

The AQHA Executive Committe deems parentage verification is necessary.

If your horse qualifies under one of the stipulations listed above, or if you just plain want to have the DNA test done, click here for an order form or contact AQHA Customer Service to order a kit by phone with a debit or credit card. Current fees for genetic testing are $50 for a registered horse and $40 for a test that is ordered on a registration application for a foal.

Genetic testing only needs to be performed once in a horse’s lifetime. Another genetic testing fact is that a horse cannot be parentage verified if his sire and dam are not both DNA typed. AQHA automatically parentage verifies horses that are eligible and reprints the certificate of registration once parentage verification is complete.

So, if you think about the opportunity science has given us, you’ll see us coming to a road where all American Quarter Horses are verified and all American Quarter Horses have been genetically tested and have their ‘fingerprints’ on file. The next time you purchase an American Quarter Horse and notice that the markings don’t quite match the certificate, think of what DNA testing can do to resolve your fear and worries about the true identity of that horse.

How to get a replacement AQHA membership card.

Every AQHA member is sent a membership card. This card contains all of your membership information and is your ‘golden ticket’ to receive a lot of awesome discounts through AQHA’s Corporate Partners. It serves as the ultimate membership renewal notice – hard, plastic and difficult to destroy – it has your expiration date printed on it. This seems like such an inconsequential subject, but my fellow AQHA Customer Service reps and I receive several phone calls each day with questions about membership cards. They also make up a big part of the e-mail we receive.

AQHA Customer Service Rep Kayla Randall

Since the inception of anything designed to be carried around in a wallet, these things have a tendency to be lost, stolen or misplaced while moving from wallet to car to pocket and everywhere in between. If your AQHA membership card was received and then lost, misplaced or stolen, simply send $5 to AQHA with a written request or call customer service with a debit/credit card, and we’ll send you a new one.

If you have your trailer and tack packed and are loading your horse for your next AQHA show then realize your membership card is nowhere in sight, relax and call AQHA Customer Service. A copy of your card – eligible for use at any AQHA show – can be faxed or e-mailed to you. You don’t have to miss a show while you wait for that new card to arrive.

Don’t forget to check the date or enroll in AQHA auto renewal, so you’ll never have to worry about your AQHA membership lapsing. Also check our Corporate Partner listings before you and your AQHA membership card go shopping! You just might be in for some awesome discounts!

Get your multiple horse transfers out of the way today!

Buyer beware? Maybe, maybe not. Maybe that horse picked you. You saw him and thought, “wow, he’d be the perfect [insert discipline here] horse!” So you talk to the owner, (or whoever was buying the feed…) pay the person, load him up and ride off into the sunset with the perfect horse.

AQHA Customer Service Rep Kayla Randall

Then you wake up in the middle of the night and realize that your wonderful [insert discipline here] horse didn’t happen to have a transfer tacked to his ear. What now? Thank goodness, you got the horse’s AQHA registration certificate. You decide to do some investigating, and the owner listed on the certificate is NOT who you bought the horse from.

This is called a multiple transfer situation, and it’s more common than you think. It’s so hard to resist when you find the perfect American Quarter Horse, you just want to worry about paperwork later! But think of it like buying a car. The horse’s certificate is like a car title. It’s a must-have. And your name on it is a must-have, too!

In this situation, you will need to start by contacting two people: the person you bought the horse from and the owner on the certificate. Once you have the person you bought the horse from on the horn, get a transfer from him. (Download a transfer form here.) Ask him who he bought the horse from and any contact information he has for that person. If you’re on the phone with the owner on AQHA record, ask him who he sold the horse to, and get him to send you a transfer to that effect. Keep going along that route until you either get back to yourself or meet in the middle. Once you have all transfers from each seller to each buyer, send everything to AQHA with the horse’s certificate, and viola! You got yourself a certified, bona fide, ownership-updated [insert discipline here] horse!

Now, there are certain times when certain people cannot be contacted by normal means. AQHA is glad to help. Gather all the information you have, including the horse’s certificate, and send it all to AQHA with a statement. We’ll do our best to contact these people for you and retrieve their signatures on their respective transfers.

If you have a story about a transfer pickle, post a comment! Also, read Papers to Prove It for tips and advice to consider before and during your purchase.

Your Chance to Save!

For a limited time, enjoy AQHA’s transfer special. Normally, AQHA charges a $15 transfer fee for each transfer submitted to AQHA. During our transfer special, AQHA is charging only $15 per horse! (The transfers must be submitted together, and membership rules still apply.) There is no additional form needed to receive the offer. The normal transfer report forms, the horse’s original certificate and a $15 payment (per horse) is all you need. Take advantage of this special while it lasts, and get your records updated today!

As always, at your service,
